Getting a maintenance quote for your property is the first step towards getting the work done — but not all quotes are created equal. A well-constructed quote protects both you and the contractor, sets clear expectations, and makes it easy to compare competing offers. Here is what a good property maintenance quote should always include.

A Clear Description of the Work

The most important element of any maintenance quote is a specific, unambiguous description of exactly what work will be carried out. Vague language like "general maintenance" or "as discussed" is a red flag — it leaves too much room for disagreement about what is and isn't included when the work is complete.

Each task should be described clearly. For example: "Replace failed section of uPVC gutter (approximately 2 metres) and reconnect to existing downpipe" is specific. "Fix gutter" is not.

Materials and Specifications

Where specific materials are being used — paint colours and finishes, timber specifications, tile types — these should be named in the quote. This prevents misunderstandings where the client expected one thing and the contractor used something different. It also allows you to compare quotes like-for-like when you receive multiple offers.

Labour and Time Estimate

Reputable contractors are generally transparent about how they have arrived at their price. A quote should ideally indicate whether pricing is based on a fixed fee for the job, a day rate, or a schedule of rates. For larger jobs, an estimated duration is helpful for planning access and minimising disruption.

What Is Excluded

A professional quote should also be clear about what is not included. For example, if a painting quote covers interior walls but excludes woodwork, this should be stated. If a plumbing quote covers the repair but excludes any making good of tiles or plasterwork afterwards, that should be explicit. Exclusions prevent disputes later.

Access Requirements

The quote should note any specific access requirements — for example, that the property must be vacant, that specific equipment (ladders, scaffold) will be needed, or that parking arrangements need to be agreed in advance. For rental properties, this is particularly important to confirm with tenants ahead of the visit.

Payment Terms

Clear payment terms protect both parties. The quote should state when payment is due (e.g. on completion, within 30 days), whether a deposit is required, and the accepted payment methods. Be cautious of contractors who require full payment upfront before work begins.

Insurance and Warranties

A reputable maintenance contractor should hold adequate public liability insurance. For significant works, a warranty on labour — typically 12 months — is standard practice. Ask for copies of insurance documents if they are not proactively provided.

Validity Period

Material and labour costs can change, particularly for larger jobs. A quote should include a validity period — typically 30 to 90 days — after which the pricing may need to be reviewed.

Red Flags to Watch Out For

  • No written quote — verbal agreements are difficult to enforce
  • Vague scope with no specific tasks listed
  • Requests for large cash deposits before work starts
  • No mention of insurance or company registration
  • Unusually low pricing that doesn't reflect the scope of work
